Our Company Background
We have a website and eBay store selling wood floor that generates up to 300 leads per day in the following lead forms:
- Incoming e-mails
- Incoming Phone Calls & Answer phone messages
- Incoming eBay Messages
- eBay ‘Sample’ piece buys (we sell small sample swatches of flooring so the customer can see the product prior to ordering).
We have 3 full time sales people taking these enquries
What We need CRM to do (plus a guide of how to do each)
1. Have a lead form where our team can input each lead that comes in (lead types above). This form will need mandatory fields (Data capture) and will need to be a copy of our current paper version which is on an A4 piece of paper.
2. We need rules on the lead form so that the following happens:
A. When lead form is complete and saved an automatic e-mail is sent to the customer
B. When a box is ticked for ‘send to warehouse’ it will automatically send certain lead details to the warehouse e-mail address.
C. When the lead is saved it will send a 2nd e-mail 3 days later
D. When the lead is saved it will schedule a task of ‘due a follow up call’ for 3 days later on that persons calander system/to do list for each day.
3. Have a calander system for each person to work from so that they can see what tasks they have to do each day such as point 2D above.
4. Input when outgoing calls are made by our sales team on a customers account
5. Ability to and how to input details of a call/message that has taken place on an existing customers/leads account.
6. Schedule daily or weekly reminders tasks for a specific sales person ie on Friday ask sales person 2 at 2pm a message should pop up to say ‘check stock in warehouse’ for example.
7. Ability to add a comment/note to each lead or customer should they call or e-mail back after the initial enquiry.
8. Link email accounts
Management Need to know how to monitor:
Each of the following both as a combined team and per each sales person:
1. What percentage of leads come each of the four sources listed at the top ie phone/email/ebay message.
2. Number of leads input in day, week, month, year, total.
3. Number of conversions from leads to orders
4. Number of conversions from each lead origin ie email, messages, etc.
5. Number of inbound and outbound enquiries per person and what type so at any point during the day or at the end of the day we can monitor how many inbound and outbound leads from each source from each person have been made.
Other options to discuss once the above is completed
Linking phones, e-mails, ebay messages, missed calls directly into the zoho crm.
