1. Migration from Goldmine to an Email list management service or a CRM/Mail Relay for outgoing email.
a. The email list management service/CRM must have no less than the rudimentary features that I currently use on Goldmine including sending a customized initial email and different version of a follow up email every 90 days thereafter unless the status of the prospect changes from “Prospect” to “Client” or “No Sale”.
2. Sanitize existing database - at least 25% of my email list of approx 8,000 are addresses.
a. Collect all invalid email and delete from DB
b. Save list of bounced emails along with contact, company name and title so that a contractor can investigate the bounce and possibly find a valid contact and re-enter into the database
c. On an ongoing basis, delete bounced emails but provide notice of the same so that a valid contact/email addy can be added.
3. Unsubscribe – method tbd
Note on this point: For email recipients to unsubscribe currently, they reply to my email and ask to be taken off the list which is extremely simple (hit reply and type unsubscribe/thx but no thx/etc). I have some apprehension about having an unsubscribe link on the email because people are accustomed to seeing that and using it in a perfunctory manner (vs. clicking reply and typing “unsubscribe”). It is rare that I get a client after the first email; companies that convert from “prospect” to “client” have received 4+ solicitations before asking to setup an intro call.
a. The platform must allow multiple users to input data, and determine if the prospect company name or prospect contact name is in the database to avoid duplicating records.
b. Because I will be using people from Craigslist/contractors, to the extent that I can protect my the data from being downloaded (rather than accessed on a record by record basis), I would like to so. People who do data entry will need to access the DB to cross-check re company and contacts, so perhaps the most protection that I can obtain is thru Privileges/Access Control which seems adequate.
1. Varying Subject Line and/or Content
a. Using Goldmine, I can update the email and subject line that I send each 90 days; however, I don’t vary the content frequently enough and would like to explore a way to automate this process. Knowing the prospect’s industry, it would be interesting to change the subject line slightly to create an appearance of relevancy.
