Basically, what we have is a system for teachers to submit purchase requests via a google form. This google form populates a google spreadsheet that the school admin staff can view and approve individual purchase orders. What we need is to be able to automatically produce a nice printable form from each row of data (individual purchase request). I believe this should be possible via google scripting in google spreadsheets.
Ideally a print/save button would appear next to each row of data as the spreadsheet becomes populated with new requests from said google form. This button would either produce a pop-up window with the printable form, or prompt to save a PDF of the printable form onto the local disk, whichever is easier to implement.
Here's the example spreadsheet: https://docs.google.com/spreadsheet/ccc?key=0AmUif7L5Lge4dEhiV2R5a25LZmNCdmlOUl9GSFlDamc&usp=sharing
Example of printable form that would be prefilled with data from spreadsheet: https://docs.google.com/file/d/0B2Uif7L5Lge4SkVGZGxVMndCdmc/edit
The end result would be a script/etc with steps to install it or embed it, and some explanation of how we could extend it to include extra data in the printable form, or to change the form layout.
Let us know if the budget's too low for this sort of project.
