Project Manager - Vick Tacky - Project Proposal for Mobile Inventory Management Application
Creation of a mobile application that will help manage inventory at our organization. The company is a manufacturer of synthetic resins pipes that are placed beneath the surface of the earth. This new system will update, check and confirm inventory while allow real time data access and allow the ability of progression charts. Method of management will be through QR codes, however options for expansion into other identification methods such as RFID should be left open.
Currently the system consists of manually counting their pipe fittings by hand. Occasionally it is miscounted by amounts of one or two pipe fittings. Total inventory counts are done annually, but stakeholders have expressed the need to increase the inventory count frequency. The current annual hand count process takes a large amount of time, and is also costly since it is done on Saturdays, which requires higher labour costs.
The new system will simplify this process significantly and increase the frequency of which inventory counts are done to have more accurate numbers for their inventory records. This inventory counting system will enable the operations department to count their products daily upon fabrication and create status reports on all of the various products created before submission to the ERP system for the daily inventory count.
In terms of inventory counting, there will be two core functions of the system. The first being an inventory updating process called update inventory. It will consist usually of the involvement of the general operations staff and or the operations manager through using mobile devices to scan inventory. Second Core Function will is called Update status. This will update the customers profile on the website on the status. Status will have 3 states of In progress, processed, and shipped. The last core function will be the inventory verification process called check inventory. It will usually consist of the shipping operator using his mobile device to scan inventory in order to cross reference the inventory on hand with the amount ordered. This will be used to make adjustments to any miscounts that happen.
The mobile app will require the user to login in so that it can keep record of who is keeping track of the inventory. The device will then display a counter which will be used to keep track of all the finished pipe fittings that will eventually be sold. Throughout the day, when a product is finished with its fabrication process, the worker moving the pipes will place QR code stickers onto the pipes and scan it with their mobile device, or assigned iPad. Once pipe production ceases for the day, the worker using the scanner will press the operations complete button. It will then generate a report of all the products made based on their size specifications, quantities, times processed, and pipe types made during the day. Upon generation, the application will make the report available to the operations manager, and the shipping manager. There will then be an update option at the bottom of the report that will update the inventory records within the ERP system based on the amount of products that were processed for that day of operations. This option can only be used by the operations manager, unless it is set up otherwise. The operations manager is the only user authorized to update the ERP system which is why the log in process is required for this application. There will also be a continue option upon the realization that they didn't create enough pipes for the orders after reading the report.
