We are looking to create a online database and management software program.
Available online would be a detailed contact database including names, family members, numbers, emails, address, birthdays, notes, emergency contact info on each contact and so.
Included in the database would also be groups.. each contact can be added to the applicable group for example Danny belongs in the "Kids group" and "adult classes" group
Also included in the database would be an option to create "Events" and programs"
an event would be a one time event... Admin would create event with its date and price. Admin would be able to add contacts to each event... on the day of the event an admin would be able to check in contacts into the event and the software would make a query to see if that contact is registered and paid into that event. If contact is not registered admin would have an option to register/mark as paid for that contact.
Programs would have the exact same functions as the events, however a program is an ongoing event. lets say every Monday or every Monday and Thursday, once a month or once a year etc.
Since programs would be used for summer camp admin would need to option when creating the event to have checkin and checkout.
admin would be able to see all contacts who are not checked out.
Since programs would be used for yearly membership fees.. when creating a program admin needs to choose if checkin and check out is applicable to that program.
Admin would need the option to charge for the program yearly, weekly, dailey, for entire program or for a specific amount of days/weeks/months
Included in the database would need to be email lists, where a contact can be added to the applicable email list
Admin would need to the option to combine contact doubles
Entire database would need to be able to be exported for backup..
Admin should have an option to send an email to all contact who are registered but didnt check in
would need an option to add "money going out" money coming in" invoices, bills, etc. for the general company and then the same options for each event and each program.
If a contact is added to a program or an event and they are not marked off as paid they will come up as owing money and admin would have an option to send a template invoice with one click.. and the contacts details and how much he owes would be automatically added in.
Admin would need the option to add invoice to contact.. for example if a contact goes to an event and purchases an extra service, admin needs to be able to add that bill to the event/program
We would to see total billing stats for entire company as well as each program and event.. . On events we would need stats of total people coming.. how many checked in, how many were missing etc. We would need to see stats on each contact. Last attended, last time contact was contacted.. how much money came in all together from that contact etc.
We would need to be able to search contacts by last contacted, name (of kids spouse) by phone, email, birthday, groups, and so on. search for contacts that are in multiple groups.
Admin would need to be able to search multiple groups programs and events at one time
We would need to integrate the database with our online forms so if someone signs up for an event their info goes directly into the database attached to that form. Automatic emails should be able to be setup when creating a program or an event so that when a user is added they will receive a welcome email automatically. Auto emails will also need to be sent out for a contacts birthday or when a contact first joins/added to the database.
Database would need to integrated will our email program so users can unsubscribe and their email would be taken off of that list
We would also need a mobile version of the website. so checkin process for programs and events can be done from mobile phone. And also quick search for contacts on mobile device.

This program is to be used by multiple temples and churches. We would need to be able to add new databases for each temple that signs up

There will be no interaction of users with the database. This program is for admin only. The only interaction user will have is with integrated submission forms for events, programs and donations (when user signs up through a form their information automatically gets put into the database)
Events added will need to be automatically added to our other website.
We need to integrate a Hebrew calender (files are available for free online)
Admin will have option to auto syns events to their google/apple calender when creating the event
