Contest Brief

BACKGROUND
I maintain an Excel‑based dashboard used by International Office staff at several European vocational colleges to manage and monitor Erasmus+ administration.
The workbook is used daily and already contains accurate data and calculations. The main need is to improve the layout, visual hierarchy, and usability, while keeping everything fully maintainable in native Excel.

WHAT THE DASHBOARD TRACKS
The dashboard monitors the following 6 key performance indicators (KPIs), each with planned vs. registered values where applicable:
1. Total Erasmus+ budget available
2. Available budget for partner countries
3. Available budget per college location (planned vs. registered)
4. Total number of participants with fewer opportunities (planned vs. registered)
5. Total number of participants in blended activities (planned vs. registered)
6. Total number of persons using green travel options (planned vs. registered)

SCOPE OF WORK
Please focus on design, structure, and clarity, not on rebuilding the underlying logic.

REQUIRED TASKS
- Create a new “Dashboard” tab that clearly and intuitively presents the six KPIs listed above.
You may also propose and include additional KPIs if, in your professional judgment, they add meaningful
insight or value for International Office staff.
- Redesign the existing “2025” tab, which contains the underlying tables
- Improve readability, consistency, and visual hierarchy
- Ensure the design scales well if the number of colleges increases

DESIGN CONSIDERATIONS
A) Users work entirely within the Microsoft ecosystem. A look and feel inspired by Microsoft Fluent Design is strongly preferred.
B) Each college using the file has its own color palette, its own logo. The design should be easy to customize per college.
C) The file currently includes 4 example locations (e.g. College Noord, College Zuid). In reality, location names vary widely. Some colleges may have 10–15 locations. The design must adapt easily to a variable number of colleges.

TECHNICAL CONSTRAINTS
- Stay entirely within native Excel
- No VBA / Macros (blocked by IT security policies)
- Refine existing data model, formulas, or pivot tables only where necessary. There is no need to rebuild the file from scratch. Maintainability by non‑technical colleagues is essential.

DELIVERABLES FOR THE COMPETITION
Please submit:
- One image showing the proposed Dashboard design
- One image showing the redesigned ‘2025’ tab

(Mockups, screenshots, or exported images are all acceptable.)

FINAL DELIVERABLE (after selection)
A fully updated .xlsx file
Ready for internal use and sharing
Clean, documented, and easy to maintain
