High-Level Description

The current process is a manual process that is handled via submitting drawings manually to each company for a bid. The bids are then returned individually and are stored in paper format. Checking the status of bids and reviewing them is done manually and requires locating the person receiving the bids. The goal is to better automate the process as well as store information electronically, so it is easier to view the real time status of bids.

Main Website Sections

1) Logon Screen – Provide the ability for users to logon to the system with an e-mail address/password

(a) Forgot Password Functionality will send users an e-mail with a new random password

2) My Profile – Provides user with the ability to change their password

(a) Requires entering old password and a new/confirm password to change password

(b) All passwords must be at least seven characters and contain at least one-upper case letter and at least one digit

4) Bid Submission Menu (for Vendors)

(a) Submit Bid Screen

(i) Allows vendor to view a grid listing all open bids

(ii) Selecting a bid will take vendor to a screen where they can view bid info, download various specification documents, and provide a bid

1. Vendor can submit or update their bid until the deadline has passed

2. When a vendor submits their bid, the designated individuals at LeFrois are notified

(b) View Closed Bids

(i) Allows vendor to a view a grid listing all previously submitted bids for jobs in the past

(ii) Selecting a bid will allow vendor to see details regarding their previous bids

(c) Note: Vendors will only be able to see, submit, and view bids on jobs where they were selected as a vendor

5) Bid Management Menu (for admin)

(a) Search Bids

(i) Can search any previously created bids by a variety of fields, such as job name, location, date, etc.

(b) Create/Modify Bids

(i) Allows user to specify information regarding a bid: job name, location, deadline date, comments, etc.

(ii) Allows user to upload specifications for a bid: drawings, documentation, etc.

(iii) Allows user to select vendors that will receive notification and have access to bid

(iv) Allows user to select internal users that will receive notification when a bid is submitted

1. Defaults to individual who created the bid

(v) Allows user to activate bid

1. This will send notification to all selected vendors and allow them to see bid and submit their bid

(vi) Allows user to review bids submitted by each vendor

(vii) Allows user to select chosen bidder

Reports Menu

1) Bid Summary Report

(a) Can search on a variety of fields: job name, dates, vendors, etc.

(b) Displays grid-like listing of summary fields from each job to easily see information across multiple bids

2) Bid Detail Report

(a) Can search on a variety of fields: job name, dates, vendors, etc.

(b) Displays detailed listing of all details from bid(s) to see all the information regarding a bid

Administration Menu

1) Company

(a) Includes information about the company including name, address, etc.

(b) Provides ability to add multiple users for each company, specifying a name, email-address, contact information, and status – so users from that company can log in

2) Logon Users

(a) Specify name, e-mail address, contact information, role, and status so users can log-in

(i) When creating a new user they will automatically receive an e-mail with their a random password to log-in
