We are a real estate and property management firm, and we have a few hundred keys in our office. Each key is assigned a number. People like other real estate agents or contractors come to borrow the keys, and we currently use a paper sign out sheet to keep track of which keys in and out. We want to replace this system with something digital. It will run on an android tablet, which will be mounted on our reception desk [see picture].
Check Out/In Form: each time a key is taken out or returned, the person will fill out a form [see mockup]
Admin view: we want a summary that lists every key currently out of the office, along with the name and phone number of the person who has it. [see mockup]
Highlighting: Keys checked out over 24 hours ago should be highlighted in yellow, and over 48 hours in red.
Updating: the admin view needs to automatically update every time the page is reloaded.
Archive: we need some method to save the data for a long period of time, without clogging up or slowing down the system.
Needs to run easily on an android tablet. I am thinking a Google docs form, or some other web-based solution but I am open to any suggestions. I have already tried to do this myself with google spreadsheets, and it will require some pivot tables and Google Apps Script that are a bit too complicated for me. But it is probably quick and easy for someone with that knowledge...
