Project Title: Time Management Access Database Conversion
Convert existing capacity management spreadsheet to an Access database. Current spreadsheet capabilities should be migrated to queries or reports within the database. Currently there are 3 reports: Team, Entire Company, and Individual.
A Microsoft Access database will be created with the following reports:
• Capacity by Manager Report
o Provides month by month summary for selected time span (default 13-month rolling)
o Displays Total FTE (Full Time Employee)
o Displays Over/Under FTE
o Displays PM details for time period
• Capacity for Entire Organization Report
o Provides same information as Capacity by Manager Report – but for all employees in database.
• Capacity for Individual Report
o Provides same information as Capacity by Manager Report – but for individual employees in database.
• Summary by Workstream Report
o Provides total hours per month for selected time span (default 13-month rolling) grouped by Category Owner of Project/Program/Task Names. This Category Ownership relationship is stored within the database in a separate table.
• Incomplete data identification Report
o Provides highlighted list of employees who are “past due” for entering data into database
• Out of compliance data identification Report
o Provides highlighted list of employees who are above/below expected total monthly hours guidelines (+- 10% of total hours per month)
• Trending charts for Capacity by Manager Report and Capacity for Individual Reports
o “Work days per month” will be stored in a table and utilized for the capacity reports.
o Database will provide option for selecting time span of given reports. Options should include: by year, by last 6 months, by last 3 months, by 13-month rolling, user specified time span
o Database will store employee / supervisor relationship (team) to allow for mapping PMs (project manager employees) to respective managers.
o Ability to add/edit Program/Projects/Task Names
o Ability to add/edit and categorize the Program/Projects/Task Names into Workstreams
o Supervisors will also have employee data / hours and will belong to their own team
