Currently we use an Access 2003 based database. This database allows us to track recruiting for 3 locations. What we need is for a Visual Basic programmer or an Access Guru to take our existing database structure modify it and add a feature that automatically sends interview emails using two different templates. We utelize Outlook 2003 and can have a specific email set up if it is required. But this needs to be completly automated and require NO user interaction. We also want the templates to include specific locations (Los Angeles would include the Los Angeles address and Info, Long Beach would include Long Beach Address and Info,Racnho Cucamonga would have the Rancho address.....) that are configured within the database. We want the ability to add more locations as we grow and as needed! 1. The templates will be populated using the appointment information/data that has been inputted into our database. We will want the first template to be just a bit different that the second. 2. We want an individual email to go out as soon as the appointment is set addressed to the person that has the appointment. (email addresses are currently inputted in the recruiting system) So the email is being sent an automatic email to confirm their appointment and email should include the name of the person coming in for the interview,time of the appointment, date of the appointment, Location of the appointment, and Employee the appointment is set with. [login to view URL] we want a second email going out the day before the date the interview is scheduled in the early am, 1am or 2am, confirming it one more time. However if the appointment is set (inputted in the recruiting system) within 3 days of the scheduled appointment time then a second email should not go out, only the first email. For example: [login to view URL] appointment is set (inputted in the recruiting system) on Friday for a Tuesday appointment, an email should go out right away on that day when it is inputted and then another email go out on Monday early am confirming it for the next day. [login to view URL] the appointment is set (inputted in the recruiting system) on Sunday for a Tuesday appointment, an email should go out right away on that day when it is inputted and that's it. There should be no need for another one to go out. Here is an example of one of the templates we wish to use: (Image Logo would go here and can be hosted from our website) October 31, 2007 John I am sending you the information regarding your scheduled interview on Wednesday, November 1, 2008. You are scheduled for an appointment as follows: Company Name 9999 Some Street., Suite 999 Los Angeles, CA 99999 Appointment time: Wed., 11/7/07, 9:30 a.m. Please remember to dress for success (business attire) and bring a clean copy of your resume. If you have any further questions or concerns, please feel free to contact me in the Human Resources office at (555) 555-5555. Sincerely, Employee Name, Human Resources Company Name ------------------------------------- This should give you an idea of what the emails will look like and we will need to change and modify them from time to time.
