MS Access or Intranet based database to track a variety parts shipped via several trucks to a vendor or to the construction site.

The original system was built using a DOS database many years ago in a couple of days and was used until a while back when the computers were replaced.

We need to collect the following information for each Job: job name{15}, customer{25}, start date{date}, target completion date{date}, ship-to-address

Section I

1. Drawing #{10}, [Item{10} (lookup1), description{60}, weight{#}], quantity{number}, source{15} (lookup2), comment{60}, origin{15} (lookup3)

2. Die #{10}, Length{number} (feet and inches to [url removed, login to view]). finish{15}(lookup4), quantity{number} and comment{60}

3. Set a job active or inactive.

Add all of the entries together so the total number required is accumulated for each item and stored when changed.

Section II

Collect information about a given delivery truck:

1. Source{15}(lookup2), destination{25}(lookup5), shipper{25}(lookup6), date shipped{date}

Section III

Load items on a truck:

1. Select from the items from Section I, view the quantity to be shipped, enter the quantity shipped, deduct that from the total number store the new total number.

Reports to see:

All items for a job, all jobs in the system, all trucks for a job, all items on a truck, items to be shipped for a job, all items to be shipped. Total weight of a truck, for an individual item all drawing #s that apply, for an individual item all jobs that apply, for an individual item and job, which truck is it on, We want to colorize the report by source so it is easily visible. On reports relating to items from Lookup 3, display the appropriate color background for the first or second column of the report.

This will be a working system, used by professionals who are familiar with the data and perhaps data entry people, so the ability to use the system with speed such as a spreadsheet data entry where the passable items are visible and only the numbers need to be entered for each can be 123, tab or down arrow, 123. In addition to a record by record entry form.

Access 2003 and an Intranet are available so it could be web based. The number of users could be as many as 7 at the same time, but more often 1-2.

The number inside the {}s are estimated field length to hold what we need as I know it at the moment.

Lookup Details:

1. Extract from Inventory database, items can be added on the fly.

2. A small number of locations GT and other sources of material.

3. 4 Items right now, Fabricated(Blue), inventory{yellow}, Direct Ship(green), Outsourced item(Orange)

4. 5 items right now, Mill, Painted, Anodized, Abraided, Galvanized

5. Job site names (perhaps from the Jobs table and some vendors sites when items sent to be galvanized on the way to the job.)

6. Name of shipping companies used (perhaps a small table with particulars phone, contact person, comments about the shipper)

We would be willing to add software to support local processing. Our website is capable of MySQL. The only data we expect to import will be a "one-time" of the existing inventory, from Access.
