The client is a customs clearing agency that has been using a shared excel workbook in their office to capture information. The sheet has evolved and currently contains 13 sheets which is used for data entry, data storage, calculations and reporting. The next evolution has to be a web based application with MySQL database .
The company is very young based in Africa growing at a phenomenal rate, with users that have very little IT background. The current workbook and all sheets are locked to prevent changes of the data and sheet formats.
The sheets that are currently used for data entry and calculations have to be converted into forms with provision for prevention of entry duplication (10 forms). There are 4 reports that are drawn from the data that are submitted to clients on either daily weekly or monthly basis. There are some sheets that contain data with variables to calculate import and export duties (>4000 rows).
The current data contains about 2500 rows with 140 columns, some cells have multiple entries. The data added daily equals on average 10 to 15 rows per day at this time peaking to about 40 per day in June July. There are 7 people using the worksheet at the moment the web based application will be accessed and used by 30 plus people. The website will also have serve as customer portal for the monitoring of the clearing status of their cargo.
The system will have to provide for data entry, clearing process monitoring and reporting. There should be allowance for a mobile app
