Combined HR, Recruitment and Payroll Solution.
This project’s outcome is to automate our current 100 employee HR & payroll functions which are currently paper based using spread-sheets and manual processes.
Platforms are Vtiger CRM & SharePoint.
Our preference is to add to the Open source Vtiger CRM option.
HR Requirement list:
• Candidate tracking. Apply on-line via job search engines such as Seek,
• Interview schedule - Each interview should be assignable to multiple interviewers - both internal staff and external contacts. I.e. Outlook meeting request type.
• Ability to attach resume & cover letter
• Ability to write comments on each applicant
• Ability to convert an applicant into an employee.
• Interview outcome field (free text or drop down selection)
• All Personal details, Names, address, Phone numbers, emergency contact, etc.
• Job title
• Commencement date & anniversary reminders
• End date (check list of what needs to be actioned at exit stage) Exiting interview notes
• Employment history
• Ability to attach files (such as resume, qualifications, photo, Medical certificate etc.)
• Ability to view employee history (role changes, promotions, salary increase, etc.)
• Ability to write comments /notes.
• OH&S information field (free text) date, time & user ID of information source.
Training & development:
• Ability to track staff training sessions / attendances
• Ability to track 1, 3, 6 month reviews & annual performance reviews
Payroll Requirement List:
• Start time, lunch start, lunch end, day end. Personal leave, Holiday leave & public holidays. Auto calculate hours of flexi time and if approved or not. Current time-sheet will be supplied as an example.
• It has to be browser based. Online work flow processes. Once submitted, emailed to Supervisor/manager for approval.
• View history of staff member’s contract/salary changes.
Payroll – Must Haves
• Tax & pay updates – Australian tax rate changes.
• End of year Group Certificates complied and sent via Email.
• Pay Slip generation and workflow emailed to staff.
• Payroll reports to be produced
o Summary of pays processed (Names and totals)
o Leave reports
1. Leave balances/accruals
2. Leave taken, YTD & listed by type of leave
o Report on different type of payroll categories, e.g. Deductions
o Super reports
1. Accrual by category, by employee, by fund (including staff name & membership number)
2. Payment by employee, by fund
o Summary & Detailed reports
• Can we prepare customised reports?
• Reports can be downloaded to excel and or PDF
• Calculate tax obligations including :
o Payroll Tax
o Work cover
• Calculate salary sacrifice and fringe benefits
• Leave Planning- End user online “Forecast Annual Leave at some future date”
• Spell checker (free text fields)
• Employee Self Service
o Employees view online pay advice.
o Check leave balances online.
o Apply for leave online via workflow processes.
Training & Follow up support
• How will you supply support to us.
• Training/Administration manuals provided?
The Payroll module will need to have an online Browser based time sheet and workflow processes. Staff members must be able to log on and check their own most recent Leave and payslip details.
Use of API’s is acceptable.
