TEA FARM DATA COLLECTION APP REQUIREMENTS-TO WORK WITH BLUE TOOTH WEIGHING SCALE
We need an android app or a cross platform app if possible that will pull out data from an electronic Bluetooth weighing scale. The app should sync with the database on the server where the ERP sits. The data should then be transferred to the payroll of the ERP system.
A brief overview of the clients operations are as follows.
The client is a tea growing company. It has got Tea Estates. Each Estate is sub divide into fields. Every field has been assigned a field number. The company has employed Tea pluckers, some as casual and others as permanent workers. It also has other employees who do activities such as pruning, soil conservation, fertilizer application etc. Every transaction is attached to a certain field.
Each tea plucker is paid based on the kilograms of Green leaf they have plucked. This information is keyed into the system on a daily basis. Payment is made on a monthly basis. However there could be mid-month advances. The payroll handles all this perfectly.
We however need to automate the data collection then push the data into the payroll electronically. This is where the data collections app comes in.
Areas to note is that the two systems need to communicate. A new, terminated or retired employee in the payroll should update the data collection app appropriately. Other parameters will also be required to sync. Data uploaded in the payroll from the data collection app should be marked as successfully uploaded to avoid re-uploading the same data more than once (duplication of the same data)
There are three modes of plucking namely;
i. Hand plucking
ii. Shear plucking
iii. MTH (Tea harvesting Machine)
Each mode of plucking is paid at different rates. (Any changes in the payroll system should sync back to the data collection app. For example a change in the rate of payment per kg in hand pluck in the payroll module should sync back to the data collection app).
Once the tea has been plucked, it is weighed using an electronic Bluetooth weighing scale and an android phone/PDA in the fields. The app on the phone will capture employee number, field number, Mode of plucking, transaction number, date/time and kilo grams plucked (Retrieved from a Bluetooth weighing scale). Identification of an employee should be automated. It can be through finger print scan, magnetic card or scanning a QR code/bar code on the wrist of the pluckers (This is to minimize on the time used to identify or key in a plucker’s payroll number. It also minimizes on errors that could occur through manual input. Option to key in manually should be provided). The weighing scale should save this data in an sql light database on the android phone. This data should be transmitted to the collection database in the server at the office. An interface to transfer this data to the payroll database should be done. Transferred data should be marker as successful to avoid duplication. Every record should be serialized.
The employees could be assigned other tasks such as weeding, chemical application, pruning among others. Such tasks are measured and paid in hours at specified rates. The app should have an option to allow the supervisors to key in such tasks for an employee. The same should be sent to the server using the same procedure as weights taken.
Below are some of the fields to be recorded by the data collection app;
i. Capture mode of plucking i.e. shears plucking, MTH plucking and hand Plucking
ii. Capture different payment rates per kg based on modes of plucking.
iii. Capture transactions on a daily basis
iv. Capture the Estate and Field number
v. Capture date and time plucked
vi. Generate management reports on kilograms plucked based on mode of plucking, Field number, Estate number and employee number
