Mail merge & Meetings Arrangements – URGENT
Professional and reliable virtual assistant wanted for a new project . The task: arrange meeting times with exhibitors, by sending out a standard email to all hotels, taken from a list of exhibitors on the provided conference website.
This is a first test project, and ongoing work will follow for the successful candidate.
SETUP MAIL MERGE
From the list, take the Email address , Contact name, Exhibitor Name, Stand Number of each exhibitor and put this in the mail merge table. You will then add the proposed meeting time based on stand number to the mail merge table.)
Send the standard email to arrange a meeting (email provided.) Details of the email account provided for sending out emails will be provided, so you can add this to your Outlook or mail merge setup.
ARANGE MEETINGS VIA EMAIL
Arrange meeting times with interested exhibitors and keep a note of the confirmed meetings in the example format provided
It is important to get the contact details from the website for each exhibitor quickly as the objective is to email approx 400-500 potential exhibitors in order to arrange around 50-80 meetings.
Expected timescale to complete: Approx: 5 - 6 hours, comprising of: Collecting the required fields and sending mail merge: 3 hours
Arranging the meetings / liaison on email with hotels etc to set times: 2 - 3 hours
Mail merge and mail sending - to be completed in one day by Tuesday 20th November.
Meetings liaison – updated draft schedule to be sent at the end of each day.
Final schedule to be sent on Friday evening.
