Warehouse Management System for Used Auto Parts Business (eBay Integration Required) Project Overview We are a U.S.-based used auto parts company selling thousands of used auto parts on eBay. We are looking for either: - A developer or development team to build a custom Warehouse Management System (WMS), or - A company with an existing software solution that can be customized to fit our workflow. We are seeking a long-term partner for implementation, support, maintenance, and future enhancements. About Our Business We purchase dismantled vehicles and inventory thousands of used auto parts. Each part is photographed, assigned a barcode, listed for sale, and stored in a warehouse location. Our primary goal is to efficiently track, locate, move, and fulfill inventory while maintaining accurate warehouse records and synchronizing with eBay. Existing Infrastructure We already use barcode labels for both parts and storage locations. We are not looking for a barcode generation or label printing solution. The system must work with our existing barcode workflow and barcode scanners. Our primary needs are inventory location tracking, movement history, inventory aging, warehouse organization, and eBay synchronization. Current Workflow: - We receive used auto parts from dismantled vehicles. - Each part is photographed individually. - Each part receives a unique barcode label (example: 2102xxxxx). - Every storage box in our warehouse has its own unique barcode. - Each box is assigned a warehouse location (building, row, section, shelf, etc.). Inventory Placement Workflow: 1. Scan Part Barcode 2. Scan Storage Box Barcode 3. Click "Place" The system should record: - Part ID - Box ID - Warehouse Location - Date & Time - Employee/User - Complete Movement History Whenever inventory is moved, the system must maintain a complete history showing all previous and current locations. Inventory Lookup Workflow. When a part sells on eBay or needs to be located: 1. Scan Part Barcode 2. System displays: - Part Information - Box Number - Warehouse - Row - Section - Shelf - Current Location - Complete Movement History - Days in Inventory - Inventory Status. The goal is to allow warehouse employees to locate and retrieve parts quickly and accurately. - Required Features. - Inventory Management: - Barcode scanning support - Warehouse location management - Box, row, section, shelf, and bin tracking - Fast inventory lookup by barcode - Inventory aging reports - Inventory status management - Complete movement history for every part - Multi-location warehouse support (future expansion) Inventory status examples: - Available - Sold - Reserved - Scrapped / Discarded - Physically Present but Not Listed Warehouse Operations: - Receive inventory; - Place inventory into storage locations; - Move inventory between locations; - Pick inventory for orders; - Mark inventory as sold, picked, shipped, removed, or discarded; - Full audit trail of inventory movements. Mobile & Scanner Support: - Zebra barcode scanners; - Android devices; - Apple iPhone/iPad devices; - Mobile-friendly interface. User Access: -Multi-user access -Employee activity tracking -Ability to identify which employee placed, moved, picked, or updated inventory -Administrator access for system management.\ Reporting: -Inventory aging reports -Inventory movement reports -Sales and fulfillment reports -User activity reports -Dashboard with key warehouse metrics. eBay Integration Requirements The system must integrate with eBay APIs to: -Import sold orders automatically -Synchronize inventory with active eBay listings -Mark items as sold when purchased on eBay -Display warehouse location for picking sold items -Import eBay Item ID, SKU, listing information, and order data -Prevent overselling by updating inventory automatically. Photo Management -Store and display one primary inventory photo per part -Associate the photo with the inventory record -Ability to sync or import the primary photo from the corresponding eBay listing -Display the photo when searching or viewing inventory records -The system does not need to store multiple photos per part. A single primary image for identification purposes is sufficient. Backup & Data Protection Requirements Data integrity is extremely important. The system must include: -Daily automatic database backups -Ability to back up inventory data, photos, and transaction history -Automatic backup to local hard drive, NAS, or network storage -Manual backup option -Data restore functionality -Backup retention history (30+ days preferred) -Notification if scheduled backups fail API & Future Integrations -The primary integration requirement is eBay. The system should: -Integrate with eBay APIs -Import sold orders -Synchronize inventory status with eBay listings -Import eBay Item ID, SKU, listing information, and order data -Prevent overselling by updating inventory automatically An open API is preferred to allow future integrations and custom development as business needs evolve. Nice-to-Have Features: -Vehicle Inventory Management -VIN tracking -Vehicle-to-part relationships -Inventory by donor vehicle. Optional Part Retrieval Request Occasionally, office staff may need a warehouse employee to retrieve a part for additional photos, inspection, measurements, quality verification, or customer inquiries. An optional feature would allow users to create a simple retrieval request containing: -Part Number -Current Warehouse Location -Request Date/Time -Request Status -Assigned Employee This is not part of our normal daily workflow but would be useful when additional information or photos are needed. Additional Optional Features: -Inventory forecasting -Mobile warehouse application -Advanced reporting dashboards. Software Architecture & Maintainability Requirements The system should be designed using modern development standards and best practices to ensure long-term maintainability and scalability. Hi, This is Elias from Miami. I checked the details and understand you need a custom WMS for used auto parts, focused on barcode-based location tracking, movement history, inventory lookup, eBay order/listing sync, reporting, photos, backups, and long-term maintainability. The real challenge here is keeping warehouse operations fast while maintaining accurate audit history and eBay inventory status. If barcode scans, box/location records, sold orders, and stock status are not tied to one clean inventory model, the system can easily create picking errors or overselling. I've worked on custom inventory, CRM, marketplace/API, barcode workflow, reporting, and cloud-based business systems. I’d approach this with a web-based system plus mobile-friendly scanner screens, a central inventory database, full movement logs, eBay API sync, role-based users, photo display, reporting, and automated backup/restore processes. I’d also design the API and database clearly so future developers can maintain it without vendor lock-in. I have a few questions to get a better understanding: Q1 – Are your current part barcodes already stored in any system or spreadsheet? Q2 – Should eBay sync be one-way from eBay into WMS first, or full two-way inventory/status sync from day one? Q3 – Do Zebra scanners run Android/browser apps, or do they need a dedicated native app? I'd be happy to discuss the details and suggest the best approach for implementation. Looking forward to hearing from you.

Hi there, and thanks for sharing such a detailed scope—this is exactly the type of barcode-driven WMS + eBay integration project my team specializes in for U.S. operations. We’ve built inventory and fulfillment platforms with full movement history, scanner-first workflows (Zebra/Android/iOS), role-based user tracking, and audit-ready reporting, including aging, picking, and status transitions like Available/Sold/Reserved/Scrapped. For your workflow, we would implement a modular cloud web app with a fast scan-to-place and scan-to-locate flow, immutable movement logs per part, primary photo association, and real-time eBay sync to import orders, map ItemID/SKU, and prevent overselling. We also design for long-term maintainability with documented APIs, clean database schemas, backup/restore automation (daily + manual + retention + failure alerts), and full source-code ownership transfer. The optional retrieval request queue and future VIN/vehicle-to-part linkage can be added as structured modules without disrupting core warehouse operations. Can you confirm whether you want eBay sync to be near real-time via webhooks or interval-based polling as a fallback? Also, do you currently have a preferred cloud environment (AWS/Azure/GCP) or should we propose the best-fit architecture for reliability and cost-efficiency? Best regards!

What stood out to me is that your challenge isn’t inventory storage itself—it’s maintaining a trustworthy chain of custody for every part from intake through sale, while keeping eBay and the warehouse in sync. I’d approach this by making the part record the center of the system. First, we’d model parts, boxes, warehouse locations, users, and movement events so every scan creates a permanent audit trail rather than overwriting location data. From there, I’d build the scan workflows (place, move, pick, discard, ship) optimized for Zebra devices and mobile browsers, then layer in inventory aging, reporting, and retrieval requests. The eBay integration would run as a controlled sync process, importing orders and listing data while preventing oversells through inventory state validation and retry handling if API calls fail. One small improvement I’d add is a dedicated “last verified location” indicator so warehouse staff can quickly identify records that may need physical verification. I’ve built large inventory-driven systems with Python and PHP where traceability and operational reliability were more important than the interface itself. Before recommending a custom build versus adapting an existing platform, I’d want to understand your current eBay listing workflow and approximate inventory volume. I can start reviewing requirements immediately.

Hello! Allen from Fort Worth here. I specialize in crafting robust, cloud-native warehouse management systems that drive operational efficiency through seamless hardware integration and automated marketplace synchronization for businesses like yours. My proposed architecture uses a React-based Progressive Web App to ensure cross-platform mobile compatibility with your existing Zebra scanners and iOS devices. Q1: How do you currently manage race conditions during high-volume eBay sales when multiple concurrent requests might attempt to update the same inventory record's status? We should discuss implementing optimistic concurrency control or distributed locking to ensure data consistency during these peak sync cycles. Q2: Regarding your Zebra hardware, are these devices running Android-based browsers that support standard WebSockets, or will we need to interface with a native bridge to capture specific barcode symbologies? Knowing the precise browser environment will define whether we optimize for a pure web interface or a lightweight native wrapper. Q3: Given the need for comprehensive audit trails, how do you envision handling data archiving for movement histories that grow into the millions of rows? We should architect a partitioning strategy for your logs to maintain high lookup performance while keeping the active database lean for daily operational speed. I look forward to discussing how we can modernize your warehouse operations. Best regards.

Hello there, We will build your WMS with barcode scan workflows (place, move, pick), full movement history, inventory aging, and live eBay API synchronization. For the eBay integration, we will use the Fulfillment and Inventory APIs together. Sold orders will import automatically and trigger status updates, preventing overselling. Inventory location data will surface instantly at pick time so warehouse staff retrieve parts without delay. A couple of quick things to confirm: 1) Are you using eBay OAuth credentials already, or do we need to set up the developer account and app registration? 2) For the cloud deployment, do you have a preference (AWS, Azure, Google Cloud) or should we recommend based on cost and reliability? The number quoted here is a starting estimate. Looking forward to potentially working together. Thanks, Faizan
