We have membership program that offers marketing tools and advice to a niche in-home service industry. We are looking provide an application with a log-in website interface to manages our members various email marketing campaigns for them.
Additionally we would like to provide an Outlook style reminder service on the members website interface. This would provide a simple on screen calendar where date specific events such as upcoming teleconferences and offline marketing reminders are populated and reminder notices to the member are delivered through email and screen pop-up upon member log-in etc.
## Deliverables
Project Goals:
1. Manage online opt-in "PROSPECT" lists collected from various sources provided for memebers:
i. Member website FREE REPORT opt-in requests (currently 3 allow for easy expansion)
ii. [login to view URL] opt-in offer page
iii. [login to view URL] client sign-ups
iv. Other future web-based prospecting member sites
(a) Send specific initial email... specific follow-up series and dump into general continuity series
(b) Allow for member directed email campaigns to be inserted into the general continuity sequencing for any and / or all of their opt-in source "PROSPECT" lists
2. Manage members "SERVICED CLIENT" online communications:
(a) Allow members to build a list of "SERVICED CLIENT" from:
i. individual daily input via "Upcoming Client Appointment Input" tab and
ii. excel *.cvs list input
(b) allow for sublist query variables of members "SERVICED CLIENT" list including;
i. specific services performed (user defined service categories 1 through 10)
ii. last Appointment Date
iii. free report(s) requested by "SERVICED CLIENT"
(c) Cross-reference “SERVICED CLIENT?? entries via "Upcoming Client Appointment Input" tab:
i. with the members “PROSPECT?? source lists and prompt to move any match from “PROSPECT?? to "SERVICED CLIENT" status thus removing from any future prospect specific emails / campaigns
ii. with the members “SERVICED CLIENT?? list to determine if this is a “first time?? or “repeat?? client
a) allow for differentiation from first time clients and repeat clients pre-appointment emails
(d) Provide “SERVICED CLIENT?? continuity sequencing including:
i. Send client “Pre Confirmation?? email package upon completion of data entry when checked. Where service date is 2 or more days in the future - deliver appointment reminder email to client 1 day before service date
ii. Deliver thank you email messages 1 day after service appointment date entered (when checked) and auto opt "SERVICED CLIENT" into weekly home care eTips,
3. Allow prospects and clients to opt themselves in and/or out of specific email series (i.e monthly newsletter, weekly eTips, particular one-time campaign series etc.) without affecting their availability to receive any of the other email series.
4. Provide a on-screen event calendar and reminder notifications service for "offline events" that uses Outlook styled screen pop-ups upon log-in and emails sent to memebers provided email address:
(a) Start each member with a pre-populated calendar
i. Member can modify or hide any event in a pre-populated campaign by clicking on any one activity in a campaign sequence allowing the entire campaign sequence and details to display.
ii. Every events in a members calendar triggers a reminder email and on site pop-up reminder listing the details of the event and the campaign it is associated with etc.
(b) Allow members to add events and / or entire linked campaign series with options for events to be on a one-time, daily, weekly, monthly, every other X weekday, first X weekday of the month, basis.
i. When a MEMBER enter their own event and / or campaign ??" an input form walks them through a step by step process of picking dates and activities.
(c) Allow for ADMINSTRATOR to post events to a Master Calendar that shows on all member calendars (i.e. upcoming teleconference and live event date announcements, other important message reminders)
