I'm clueless when it comes to web design so I apologize in advance if this posting is vague and contains the wrong terminology.
We are an event staffing agency looking to expand our current website to be more multi-functional. Currently the website is very basic buzz and we are hoping to implement a database driven site that would function as follows:
- Clients can request quotes online by filling out mandatory fields
- Auto-responder e-mails clients quotes based on their choices
- E-mail will contain a link to continue with booking which will take them to a contract template with their details (from original fields) filled in
- Client signs agreement using docusign (or similar program) which is then e-mailed to our management
- Client is automatically sent e-mail with username and password and will receive access to their own account on our website. This account will then allow client to update/add new requests, track schedules, receive invoices, download scans (from us)
- All new/updated requests must be automatically e-mailed to our management AND added to a schedule (accessible by client, staff and management)
- Applicants apply online via our website by filling out mandatory fields and (as this is contract work) signing an employment agreement template using docusign (or similar)
- If applicants are interviewed and hired we would like the ability to easily (one step) have their pre-filled out information and photo added into the website database and, if possible, updated in our mailing list/groups (google apps)
- An automatic â€œwelcomeâ€ e-mail template is sent once applicant has been added
- We will continue to book staff offline but will need the ability to manually add staff to schedule as they are booked
- When staff are entered into schedule they are sent a confirmation outlining the details of their shift. This will be template based and the details will be automatically filled in based on the fields the client entered into the request form
- Possibly would like to implement an automatic invoicing program to correspond with each activation. The invoices would be auto generated and, again, would just be a template with auto fill from mandatory fields that have been previously filled in and/or are filled in by management.
- Our clients require various reports so we would like to be able to upload to the clients profile directly (these will be scanned documents)
