- Editing Pages

o Articles, etc. that are added and submitted should be viewed here. Articles and such can be written and added here, edited, and deleted. Categories can also be added here. (Your Voice submissions)

o If a new submission has arrived, this will show here with the ability to edit, add, and/or delete it. Adding it should include which category/page/section it will be added to.

o Job applications can be added, deleted, and edited here. The form to add/edit a form should include:

§ Job name

§ Job category (all ages, junior, senior)

§ All fields for the application form that can be edited

§ Save and Cancel buttons

- Volunteer Applications

o Submitted volunteer applications should be available in the Admin section. The completed application forms should each have an application number assigned to them as well as the date they were submitted. Upon clicking on the application number, the full application should be shown.

o There should be an Accept & Decline button at the end of each application form.

o By clicking “Accept” the person will be a part of the team and have access to staff-only sections of the website as well as the section(s) pertaining to the position(s) they were accepted for (example: Advisors will get a link to Advice Cases whereas an Article Writer would not). An automatic email will be sent to the applicant letting them know they were accepted.

o By clicking “Decline” the application will be deleted from the database and the applicant will receive an automatic email.

- Case Statistics

o This will list each Advisor & Crisis Worker and all cases (crisis and advice) that have been completed, ignored, or not completed. Beside each name will have columns:

§ Completed (when they actually reply to a case)

§ Ignored (when they do not complete a case because of irrelevance)

§ Incomplete (when they cannot complete a case due to other factors)

- Site Statistics

o This will show how many hits we have had during the day, week, month, and year. It will also list referral hits and how many times someone has used that referral link to get to our website. There should be a Reset button to reset the statistics when needed.

- Login Statistics

o This will show all staff members in one list and general members in another list (all registered members). The columns should be:

§ Username

§ Last IP

§ Last Login

§ Amount of times they have logged in

o Members who have not logged in within 3 months should be automatically emailed a “we miss you” message.

- Project/Assignment Form

o This form will include:

§ A drop down list of all staff members, separated by volunteer/job position

§ The drop down list should allow you to choose whether to send to all staff, just certain departments, or a staff member individually.

§ Date assignment was delegated

§ Date assignment is due

§ Approximate time assignment should take in hours

§ Priority (low, medium, high)

§ Title of assignment

§ Description

§ Delegated By

§ Send button

o This form will be send to the Admin section. A copy of the assignment (not editable) will be sent to the staff member’s “Assignments” link.

- Project/Assignment Status

o This will have listed each assignment. Each assignment should have its own number. Upon clicking on the assignment number, the assignment should show in detail.

o It should be editable by clicking an “Edit” button.

o It should show the status of the project (in progress, late)

o A button should be at the bottom, “Completed.” Upon clicking this button, the assignment will disappear from the assignment link as well as the Admin assignment status link.

o There should also be an “Incomplete” button. Upon clicking, the assignment will also disappear from said links as well as be logged in the statistics section.

o The completion of the assignment will be recorded in the Project/Assignment Statistics link.

- Project/Assignment Statistics

o This will list each staff member. The columns will be:

§ Completed

§ Late

§ Total Completed (Completed + Late)

§ Incomplete
