Project Description

I have a setup that I need simplified and automated but don't know how to go about doing it. I need a better way. I have a wordpress website ([url removed, login to view]) that has a page that embeds images from another website that I own that is just a folder structure with ftp access.

Here is the folder structure:

With subfolders:

/upcoming

Each week on Monday, someone puts images in the upcoming folder. The current folder has the images with the current photos for that week which the website pulls from. I have 50 websites with this structure. The same person puts 4-5 images in the upcoming folders for the websites to pull their specific images from the current folder for that week. I do not want this person having access to websitea.com.

On Tuesday morning another person checks the upcoming folder to see if there are new images in there. If there are new images, they delete what is in the current folder, and copy the upcoming folder to it. Then using a newsletter program, the subscriber list is notified to the new images for that week.

I know a php coder could write a php code to look in upcoming folder for files, and if it sees files, then delete what is in the current, and copy files from upcoming to current. If nothing is in the upcoming folder then do nothing. (BUT) I still think this is doing it the hard way. The newsletter is done by duplicating the last newsletter then sending it out to the subscribers for that website. It has the option to automatically send out a newsletter every time there is a new post, so if I could get wordpress to somehow pull images (not necessarily how I am doing it) from a designated area where one person could access to load the images each week, and create a new post with the images for that week, and then wordpress automatically does the rest, that would be great.

This could be done by the script or code looking at the upload dates etc. The problem I run into is sometimes some of the websites run their current 4-5 photos for 2 to 3 weeks and then add new photos to the upcoming. I don't know how to have the code look for that and then run everything else.

Another scenario is we could have an upload area that asks how long the images will be on the page and then not run until the expired time.

I am not sure in what direction we will go with this project so I do not know which option to select for pay. I need someone to tell me the best way to go about this.
