DEVELOPMENT BRIEF

Functionality Specification

We are looking for a developer. (Prefer to work with a talented individual rather than a company). This individual will have excellent PHP/mySQL skills and a strong portfolio of work.

NB: Please only provide examples of your work with matches or is a close approximation to this spec. (project).

We provide high quality design (cosmetic/aesthetic) and strong coding on all our projects. If your work is good enough, we will provide more projects in future and you may also be asked to provide the next phase of development work for this project. We will be making our decision before 13th September.

You will be provided with cPanel, FTP and phpMyAdmin access on the server to develop this site. NB*: The site should be fully developed from start to finish on our server. You will act as key contact for site development from start to completion and will be responsible for correct functioning of the site and delivery of the project in its final working state. However, we will look after certain aspects of the project (eg. SSL Purchase/Install) and will advise what, if any activities besides this we will carry out.

You will be available Monday - Friday 09.00 – 18.00 (GMT) by msn/skype/googletalk/yahooIM telephone and e-mail as required. You will be required to respond to all discussions/questions or other contact requested either immediately or within 24hrs (maximum). Failure to do so will result in GAF Violation being posted.

Key Activities:

1. Review Specification (this document) and provide feedback as necessary.

2. Create Database

4. Cross Browser Test & Debug: IE6+, Mozilla Firefox, Opera, Mac (Safari, IE, Camino etc.)

NB: XHTML and CSS for main pages will be supplied and uploaded to Server. Whatever solution we choose must work with out XHTML design and CSS. This is vital.

We are currently looking at solutions such as

6. Non-interactive WordPress Blog - purely for SEO purposes but users can refer to it as a way of finding out about the new features and reviews that we write.

4. Music & Film

a. Bands, Songwriters, Vocalists, Guitar, Bass, Drums, Keys, Other, Short Films, Movies, Music Videos, Documentaries, Animation, Interviews

5. Photography

a. Fashion, Still-life, Potrait, Fine Art Photography, Landscape, Other (Sport, Food etc)

6. Other

Need facility for us to add more categories and sub-categories as required.

Search facility

To be as comprehensive as possible so that if someone is searching on a theme the search is run through:

1. Categories

2. Members (Biographies and work entries)

3. Locations

4. Universities

Registration/Login facility

Registration packages: Members can select up to 3 categories to become a member of. Each category will have a set amount of disk space. We require the ability to edit the space allocated to each category of member (Bronze/Silver/Gold).

BRONZE

1. Free package

2. Allows people to fill in their profile page then add:

Art & Design (6 images)

Creative Writing (6 pieces)

Fashion & Accessories (6 images)

Music & Film (4 pieces)

Photography (6 images)

Other (6 images)

We allocate 10mb of space and the system will recognise when the user has run out of space and issue a warning. The warning will be “You have exceeded your space allocation. Please remove some of your image / text or other media files.”

SILVER

1. £5 per year

2. Free entry into any future competitions the site runs

3. Space to add:

Art & Design (14 images)

Creative Writing (14 pieces)

Fashion & Accessories (14 images)

Music & Film (8 pieces)

Photography (14 images)

Other (14 images)

We allocate 20mb of space and the system will recognise when the user has run out of space and issue a warning. The warning will be “You have exceeded your space allocation. Please remove some of your image / text or other media files.”

GOLD

1. £10 per year

2. Replaces featured artist page on front page of the site

3. Free entry into any future competitions the site runs

4. Reduction on first 3 items sold in shop (when it becomes available) under £100 (e.g 15% instead of 20% fee for the site)

5. Option of 2 years for £17.50.

Notes on registration:

1. Registration lasts for one year (unless Gold user has selected two years) so all registration must be time/date stamped in the database, after which users are prompted to re-register and pay again for the next year. A prompt should be issued automatically from the system 4 weeks in advance of renewal date and if not paid then again 1 week in advance of renewal date. Their membership will be locked from final due date until such time as they pay the re-registration fee.

2. On registration users have access to more privileged information and can make contact with other members; portfolios can be displayed to any user irrespective of permissions in the “normal” web browsing environment but contact details/web addresses/sensitive information are not available until a user is registered. Much like MySpace.

3. When registered, users can create their profile and portfolios.

User experience

1. User accesses home page of website and is presented with information about Creative Archive, main navigation and categories, latest news and events, blog and advertising.

2. User can view new portfolios and information on home page or navigate to desired area.

3. User must register or login to view sensitive member information (contact details) and be able to contact members, but all users can browse site and look at all portfolios.

4. If registering the user goes through the following process:

a. Reads information about Creative Archive and Terms, checks box to agree and goes onto next page to fill in details:

i. Full Name*

ii. Date of Birth (dd/mm/yyyy)*

iii. e-mail* (validation required) This becomes their username at LOGIN.

iv. Password* (case sensitive) This becomes their password at LOGIN.

v. Profile Name (This is the title other users will see as their Profile)

1. ‘Account deletion’ link must be visible on the edit profile page

Content Management System

1. Will enable client to update all content

2. Must be able to add copy and photo to following entries:

a. Newsfeed

b. Blog

3. Includes rights to remove membership information

4. Will enable client to upload advertising

Future functionality

Online shop where members can sell work but Creative Archive makes a commission on item. Notes as follows:

1. Member will have new section within ‘Edit my profile’ to upload products to an online shop

2. Member creates new product, uploads image (at specified size), enters product name, description, price, delivery timescale and selects category

3. When product sells:

a. 20% commission is taken by Creative Archive

b. Member is notified of sale and must send out within specified timescale

4. Will progress to Protx when online shop is added.
