executive assistant to CEO of fast-growing tech company

QUALITANCE ([login to view URL]) is a fast-growing technology and innovation company, with offices in Bucharest, London, San Francisco, New York, and Sydney (Australia).

The Executive Assistant will

1. Facilitate interaction, act as point of contact or stand-in between CEO and clients and/or other people in the company

2. Reply to and handle some CEO communication on behalf of CEO (email, phone, etc)

3. Manage setup for meetings

- Prepare (working with relevant parties) and send out agendas to meeting participants

- Make sure participants are prepared with the right information, documents

4. Participate in client and staff meetings, take notes, follow up after the meeting on behalf of CEO

5. Take on small specific projects on behalf of the CEO and follow through to closure, working with people inside or outside the company, suppliers, etc

6. Conduct various research tasks, analyze findings, prepare reports

7. Operational support for CEO

- Manage calendar and meetings

- Manage and update agenda

- Follow up on meetings, engagements

- Manage travel arrangements for CEO (and other people upon CEO’s request)

- Travel, hotel, car rentals, etc

- Complete expense reports

The ideal person

1. Has a high level of ownership

- Reliability (high do/say ratio)

- Follow things through with resilience

- Determination to maximize success on everything you touch

- Has a courageous attitude towards tasks with little context or information

2. Is highly logical and rational

- Create clarity towards results expected of him/her and others

- Prioritize quickly

- Make fast decisions with confidence

3. Has good computer operating skills

- Word, Excel and PowerPoint are essential

4. Has excellent English level (both verbal and written)

5. Has some background in Sales, and ideally in technology

6. Has good instincts on Marketing

Travel might be required.
