E-commerce System Change and Order Management Developer

I have a website which I am very happy with in terms of style and visual appeal. It is an e-commerce website which sells chemicals and uses Oscommerce shopping cart with a payment module that connects to [url removed, login to view] or gives details for the customer to make a bank transfer for payment. We are bringing in new stock and have taken this opportunity to stop trading for a short time and look at the systems and processes to see how we can run the website better.

1) We are looking to change payment processor to someone similar to:

[url removed, login to view]

Where the customer will probably be taken to their secure payment portal before being redirected to the shopping cart. This will need to be integrated to the existing or new system (see below).

2) I have been very unimpressed with the back end system in Oscommerce. As an order management system it has many problems:

It is cumbersome to look at orders, you cannot select multiple orders to make changes to them, it is extremely time consuming to edit the order status of orders so that emails are sent to customers when the order is dispatched for example and it is hard to select bulk customer email addresses.

To fulfil the orders that came in I copied the following information down on paper sheets with gaps for the information and tick boxes:

Customer Name, details of product quantities (I only sell 3 products), whether the order is special delivery, whether the order is an international order, the method of payment, if the order has been paid for yet, and a space to be ticked/have a tracking number entered when the order has been dispatched.

Each order was emailed too me as well so I then copied all the addresses from the emails onto sheets in a word processor to print the address labels and attached them too a sheet behind the order sheet so each order that was sent had an address label ready. Each email was put into another folder when it was entered on the sheet, I found Oscommerce system so bad for order management I was basically managing the orders using my email client!

This system allowed the orders to be carefully packed and completed and provide details by looking through the paperwork for the tracking number/searching the email client for other information if customers had an query, however it took up a huge amount of time and could lead to errors. I would like to computerize and automate this process.

I need either A) an excellent order management system as part of a back end shopping cart which will solve all of the above problems copy the above order information into a database so that the orders will have all the above information displayed ready for any questions that occur and also manage each order through each stage of the packaging/delivery process. This should all be combined with one click functions such as sending an automatic email to say the order has been dispatched and easy searching options for customers who have not paid (and ability to send a reminder email) and find customers who opened an account but never ordered.

Or B) if all this is not possible from a standard back end shopping cart system maybe the system needs to be combined with order management software? Although please bear in mind I do not have much money to spend and I would prefer to manage all the orders from one place. As you can no doubt tell I do not have much knowledge of how to effectively manage e-commerce orders so I am looking for someone who can advise me on the best system to solve the problems outlined above in a fast and cost effective way.

About you:

1)You should have a large amount of experience in development of e-commerce systems, experience of integrating payment systems into shopping carts and extensive knowledge of how to set up and manage back end/order management systems.

2)You should have excellent English skills and be willing to communicate in a prompt and constructive manner.

3)Be able to provide a portfolio of work and references that demonstrate your work. You should be able to prove all work is your own and references will be checked.

Please provide a basic strategy or system you would use to solve the problems outlined above.
