I am looking for someone to service the MS Access database for my business and add functionality as my business grows and my needs expand.
For the moment, my needs are simple and I have made a start on the database from scratch although you may decide to reconfigure my table and relationship design.
Some background for my business model. I operate my business, online retailing, from Australia. My products are all from China at the moment and are shipped directly from China to my customers either from the supplier or via a shipping agent there. Most sales are for one or two items per order. So there are either 3 or 4 entities involved in each transaction. The customer, my business (the retailer), the supplier and the shipping agent if required. My sales can come through various channels like Ebay, my website, Amazon, Facebook and other online stores.
In order of priority, these are the things I need to achieve with the database.
1. Record each transaction with Customer details, order and payment details. I have included a file with the database I have [login to view URL] MS Access 2007. There is a form there called 'Customer Order Input Form'. I have some issues that need correcting as follows:
i. If I input a customer already in the database I would like the form to auto fill with customer details so I don't have to enter these details again.
ii. When I add the items puchased in the 'Order Items Subform' I would like the 'SKU' (Product ID) field to provide a lookup function for when there are many products in the database and the data entry person cannot remember the SKU.
iii. Also in this subform I would like the Order number to autofill with the order number from the 'Order Details' subform. If there is more than one item to be entered for the one order the subsequent items must keep the same order number.
iv. The form seems to generate a new order number in the 'Order Items' subform as soon as one item has been entered. Therefore making a record in the 'Order Items' table which is blank except for the order number.
v. I would like to have a control button that submits the form and offers a new blank form to be entered.
2. In the 'Order Status' table you will see a field called 'PIR Number'. This stands for Purchase Invoice Request Number. When a customer orders a product, I need to order that item with my supplier. I would like to automate this process by having Access fill in a form or report called a Purchase Invoice Request and automatically emailing it to the appropriate supplier. The PIR looks like a normal invoice (I can supply you a copy of one from an excel file if you like) and basically gives my supplier the customer and order details and requests a Purchase Invoice from my supplier to be sent back to me. When my supplier emails me the Purchase Invoice I will need a form that allows me to bring up the associated order so that I can then put my suppliers Purchase Invoice number to be linked with the information on that transaction. When I input the PI number the database should also update that the supplier has been paid with the date and method of payment.
For this moment, if I could you get you to quote me on the above work as this is what I require as soon as possible. Please also let me know the time frame in which you could complete this. There is however more functionality I need to build in and would be only too happy to have you do the further work should our initial experience be a good one. This work will include further automation for example eliminating data entry but rather inputing data with select .csv files if possible. Perhaps it will be a change over to a web based CRM model where suppliers and shipping agents are able to input data directly into database with restricted user access. Whilst that is the longer term goal I would like to fine tune the MS Access database for the meantime in way where the database will be portable to other systems if required..
