Website and database design

Before bidding on project, please accept these terms or do not bother bidding.

1. I will only be accepting bids of $1000 US and less for this project. The lowest bidder will probably win so please bid competitively.

2. Prior to me paying any money, I will need a detailed blueprint of what the website will look like and how it will function.

What I want is an online scheduling and ordering website, with an option for a calendar view, for title companies in the US. They would put in orders to my company. Vendors would fill orders. I will need a database that keeps the orders, vendors and client information. Along with the functionalities below, I would like to be able to track various web traffic stats, including, but not limited to the number of hits the site gets over various time frames (specific day, month, year, etc.)

I will also need a logo design.

I will have four types of users for my website, Admin, Vendor, Customer and visitor. Each user (except visitor) would have a specific logon identity that would only allow them to see certain things depending on their permissions. The Vendors will be notaries or signing agents. The customers will be title agencies.

1. Admin users would be able to see anything on the website.

a. They would be able to see the calendar in its entirety. They will need to be able to break down the views of the calendar by vendors, a specific user, customers, and a specific customer respectively.

i. The calendar format would be similar to a MS Outlook calendar or Yahoo! Calendar

1. Admin would be able to see global view as well as view by individual customers of orders that the customers have made visible to the admin (by selecting that option on the order). Only orders that the customers allow will be viewable by the admin.

ii. Users will be able to sort data and view it broken down by individual times, dates, customers, vendors, etc based on their permissions

b. Admin users would be able to rate vendors and add comments about vendors and customers that will only be visible to admin users

c. Admin can select an order from the schedule and see all of the vendors that have replied to the email with a bid (see 3.C.i. below).

d. The admin will act as a middle man between the vendor and customer.

e. Once an order’s status is changed to completed, a invoice will be generated and emailed to the customer based on their preference of per order, weekly, or monthly. Or they can shut that option off and have it sent via regular snail mail.

2. customer users

a. customers would be real estate title companies and their employees

b. customers would be able to make two types of entries in the schedule.

i. One type would be an order that our vendors will fill

1. when an order is entered it would automatically generate an email that would be sent to vendors in a specific geographical location based on state and county.

ii. One type would be and entry in the schedule that they will handle in house, without the use of our vendors and visible only to the customer for privacy (not visible to admin users or vendors).

c. customers would be able to log in and see only the orders for their company

i. Enter orders that would automatically be added to a schedule

ii. Maybe the entries would be in two different fonts, for instance, maybe the orders that I will be filling are in italics and the orders that they will be handling in house will be in regular type (or maybe you can think of a better system). Maybe a color coded system would be more effective

d. I was thinking of a color coded system for each of the entries in the schedule, where users could update the status of the order and the status of the order would be identified by a specific color. The color key would follow them around the website as a reference.

e. Customers will have the ability to upload loan documents, usually 5-10 meg, to a specific order. A vendor would then be able to access these documents to download them onto their computer and print them out.

f. Customers (as well as all users) would have the ability to search the database for their entries based on their permission. The search will be done based on various types of criteria (for example: name, property address, order number, etc).

3. vendors

a. They would be able to register on the website and be assigned a vendor ID

b. they would look for assignments (orders from customers)

c. When a customer would enter an order, an email would be sent to the vendors based on a state and county (or counties) that they added to their profile while registering.

i. They would click a link in the email to bring them to a form on the website.

1. They would enter if they are available to do the signing and the fee they would charge to do it and submit the form

2. the form would be entered into a database and I would assign the order to the vendor that I choose. When I assign the vendor the order an email would be generated and sent to the vendor of my choosing.

3. The vendor would then log back in to confirm that he will be filling the order for the previously quoted fee.

d. The vendor would be able to download files from the website that were uploaded by the admin or customer for the specific order. They would also be able to download documents that were uploaded by admin users in a more general file area. For general files that may be used on multiple types of orders.
