Managing hourly projects

An automatic billing system for hourly projects is now integrated with the Freelancer Desktop App to better manage payments for your freelancer's worked hours.

Tracking Work Hours

Your freelancer will be required to download the Freelancer Desktop App in order to start tracking their work hours and progress. The app is only available for freelancers, but you will be able to view screenshots of their work and their work hours from your project’s Management tab.

You will be prompted to activate your hourly project's weekly automatic billing when you try to award it. Your project will not be awarded if you try to skip it.

  • Review Billing Details. This includes the project’s hourly rate, weekly limit, and schedule of automatic invoice generation and payment
  • Set Up a Milestone. The option to create an initial Milestone Payment for your freelancer’s first hour of work will be available

The automatic billing setting, weekly limit, and payment method set up in your billing details can be edited on the project’s Billing Summary section after award.

You can end and resume the automatic billing anytime if there are changes in your payment method or if the project is completed. Note that your freelancer will not be able to track hours if automatic billing is disabled.

Every Monday in your timezone, an invoice will be automatically generated for your freelancer’s tracked work hours. Work hours not logged by the Desktop App (i.e. offline work) can be manually tracked by the freelancer before the automatic generation for them to be included in the invoice.

You can edit your billing details in both automatic and manual invoices. The invoice amount, however, can only be edited in manual invoices. Request your freelancer to change the amount as this is only available on their end.

Every Wednesday in your timezone, the automatic invoice generated on Monday will be paid automatically using a Milestone Payment created by the system (if the automatic billing is active).
