We require an Access database to help organize loans of equipment to our customers.

We have multiple offices that we loan equipment from and many customers who borrow equipment from us.

The database would need to require data entry of new customers, entry of new equipment and the entry of loan information.

A loan typically is set up with a start date and an end date. The employee entering the loan can select their name from a drop down list of employees and their office information - address, phone, email etc. is all filled in automatically.

The equipment to be loaned is selected from a searchable list of equipment or new equipment is entered if it is not already on the list. Equipment that is already schedule for a loan during the date selected should not appear on the list.

The customer is selected from a list or new customer information is entered. If the customer already exists, their name should be available either by beginning to type their name or by dropping down a list box.

The person doing the entry can choose if a credit card will be required as security for the loan or not. If the credit card is required, when the loan agreement is sent to the customer it will include lines for entering credit card information. If it is not required these lines will not appear on the loan agreement.

When all of the information is entered, the loan form is printed for sending to the customer. It is either emailed as a PDF or Word document or it is printed and faxed. There is some standard text for loans outlining the customers responsibilities with respect to the equipment.

A list of fields will be provided for table creation.

A few reports are also needed.

1) Overdue loans. - loans that have not been marked as returned after the loan has ended.

2) All equipment on loan - should list when and where all loan equipment is and when it is due back

3) Loan history - look up either by name or serial number where a piece of equipment has been - all historical loans for it.
