We are a 3 store retail jewellery chain. We sell mainly hand made diamond rings. There are usually only one of each item. There are about 2000 items in each store. We buy finished jewellery but we mainly buy loose diamonds and make the diamond rings ourselves by hand. We do not make many sales each day.
We are looking to have compiled / programmed, a Point of Sale ("POS") system. This is to allow us to track our stock of loose diamonds and finished jewellery, make sales, repairs and track our manufacturing, record payments, produce invoices, gain statistical data of our operations etc.
Often when we are selling a diamond ring we need to check on the cost for that day, as prices for diamonds can change as well as the USD exchange rate (we buy in USD but sell in AUD). We have described how this may work in the attached document.
We pay GTS (tax) of 10% on every sale and we need to calculate this automatically. We are often paid in [login to view URL] tax is due when the final payment for an item has been made.
When we sell a diamond ring we like to provide a receipt showing the price, payments and description of the item. We also provide a separate "Valuation Certificate" which we prepare for each ring (this can be prepared in advance but the date on the Valuation and Valuation amount will change. We also oftem provide a Diamond Grading Certificate" - this is a printed certificate from a 3rd party which we store in a filing cabinet. It would also be useful to be able to view this on our computer when selling.
We need to check that all our stock is on hand about every month, when we do a stocktake. This will need to be done using a handheld scanner and reading barcodes on our tickets.
We need to produce jewellery tickets for every item of stock. We also need to add to the stock database unfinished items that will later be used to assemble jewellery (“components”). Components include things like loose colored gems, loose diamonds, unset rings etc.
We have made a "wish list" specification, however if we can get a some key functionality we will still be interested in a much simpler system, especially one we can upgrade over time. The wish list specifications are: Printed Valuations, Images in the database, Invoices, GST calculation linked with our accounting software (Quickbooks), Easy stocktaking, easy view of complete imformation for an item, lay-by sales, passwords and security features.
We propose to use a dedicated server and web access for users. We prefer a programmer to compile for us using an opensource system, rather than trying a complete new build.
