Scope of Work for Remote Maintenance Planning Consultation Objective: Engage a remote consultant to develop a comprehensive maintenance plan, focusing on manpower estimation for both regular and shutdown maintenance activities for all equipment in the facility. Tasks & Deliverables: Data Collection & Initial Review Access and review equipment data, manufacturer’s manuals, previous maintenance records, and any other relevant documentation shared. Virtual interviews with facility personnel to understand current maintenance practices, challenges, and specific intricacies of each equipment. Scope of Work Development Establish a detailed maintenance Scope of Work for all equipment. For each equipment/component, list down detailed tasks required. Categorize tasks based on frequency: daily, weekly, monthly, yearly, or based on operational hours. Work Breakdown Structure (WBS) Develop a WBS that includes all the tasks and sub-tasks. Organize tasks sequentially and indicate any dependencies. Provide time estimates for each task/sub-task. Skill Set Identification Identify required skills and expertise for each task. Highlight tasks that require specialized skills or equipment. Manpower Estimation Calculate man-hours required for each task. Provide estimates for: Regular Maintenance Manpower requirements. Shutdown Maintenance Manpower requirements. Suggest a buffer for contingencies. Consideration of External Factors Analyze the impact of external factors such as tool/equipment availability, safety precautions, and regulatory standards on the maintenance plan. Training & Onboarding Recommendations Propose a plan for training new hires or onboarding contractors. Highlight any specialized training required based on the maintenance tasks. Documentation & Reporting Compile all information into a comprehensive maintenance plan document. Develop a visual representation of the WBS. Create a summary report detailing findings, estimated manpower, and recommendations. Timeline: Approximately 8-10 weeks (depending on data availability and the complexity of the equipment). Regular checkpoints and updates should be scheduled to ensure alignment. Requirements from the Hiring Organization: Provision of detailed equipment data, including manufacturer's manuals, past maintenance records, and other relevant documentation. Availability of technical and maintenance personnel for scheduled virtual interviews. Prompt feedback on drafts and deliverables to ensure project momentum. Consultant Qualifications: Proven experience in maintenance planning, preferably in a similar industry or with similar equipment. Strong analytical and project management skills. Proficient in tools/software used for developing WBS and maintenance planning. Excellent communication skills, especially in a remote work setting.
