I'm looking for a virtual assistant to support me in effectively organising my Outlook inbox and streamlining my email management process so no emails are missed moving forward. Key responsibilities: - Sort and organise emails: I need assistance in categorising my emails based on sender, subject matter, and urgency. I would appreciate some guidance on how best to structure this for efficiency. - Help structure and automate my inbox management: I’m looking for someone who can not only organize my inbox but also help me put in place strategies that will streamline my email management process over time. Ideal Skills and Experience: - Proficiency with Outlook: A strong understanding of Outlook and its features is a must. - Proven experience in managing inboxes: Experience in helping clients manage their inboxes and establishing effective structures for email management would be a significant plus. - Strong organisational skills: The ability to organise and categorise information in a clear and efficient manner. - Experience with automations using Outlook rules and/or Power Automate and Copilot - strong English language proficiency (Australian English is used locally) This role will require a high level of confidentiality, good communication skills and efficiency as you will be working with me to organise thousands of emails from my last five years of use. Important that you have experience in the use of Outlook rules and familiarity or experience with power automate and CoPilot (365 business version). Responsibilities include setting up rules for email categorisation, creating automated workflows, and ideally working with me as to how to optimally utilising Copilot for efficient email management. Previously utilised methodology from Working Smart using Microsoft Outlook training. This training utilises outlook functions to organise tasks (including tasks from email correspondence) into the tried and tested (pre-internet) organisational methods from the book Getting Things Done by David Allen so any insight or experience into this style of organisation system would be of high benefit. Training website [login to view URL] Highly beneficial if you have a strong understanding of how Outlook displays and works in the windows desktop program/app, in the 365 web browser display and in iPhones and iPads (iOS) app. This is because outlook is accessed through all of these products and often emails are hard to find not just because of volume but also how the functions (especially search) of outlook work differently in different platforms.
